Job Description
BELTLINE, a heavy industrial and commercial electrical contractor is currently seeking candidates to fill an Administrative Assistant position in our Clinton, TN office.
 
Headquartered in Paducah, KY, with offices in Owensboro, KY and Clinton, TN, BELTLINE currently serves the Southeast US. From large industrial projects to commercial service calls BELTLINE has been providing electrical construction services to the industrial, commercial, power generation, government (DOE, DOD, etc) markets for over 60 years. We serve all segments of the industrial and commercial markets. BELTLINE offers a wide array of services ranging from fiber optic cabling, low voltage system installation, to 15kv equipment and cabling installation.
 
 
JOB DESCRIPTION:
To assist and support with duties in various areas including administrative support, data entry/processing, accounting and documentation control.
 
TYPICAL DUTIES:
Administrative Assistant Duties
  • Answering telephone, screen, and direct calls
  • Receive/sort incoming faxes
  • Greet visitors entering office
  • General administrative and clerical support
  • Prepare letters and documents
  • Assist in organization of current filing system
  • Assist other office staff as needed
  • Assist in keeping Accounts Receivables current
  • Assist in keeping all training documentation up to date
  • Assist in keeping all vehicle and/or equipment information up to date
  • Assist with the development of project proposals
  • Other duties as directed
 
Work Orders and Project Information
  • Process and dispatch East Tennessee area service work orders.
  • Assist with keeping work order billing current.
  • Assist in processing project documentation
  • Assist with keeping project billings current
Payroll
  • Collect daily time records
  • Data process of union payroll
  • Verify daily/weekly hours and rates for accuracy
  • Familiar with Viewpoint Accounting software
Abilities and Attributes:
  • Proficient with Microsoft Outlook, Office Word, Excel and Powerpoint
  • Capable of multi-tasking in a fast pace environment with shifting priorities
  • Able to communicate effectively both verbally and written
  • Self starter
  • Team oriented
  • Work more than 40 hours per week as needed
  • 3 to 5 years in a construction office environment is preferred
  • Associate’s or Bachelor’s degree in Business Management is preferred
  • Valid driver’s license with no major moving violations
  • Drug Free
